This policy explains how Menorah Parade System handles information when you request organizer access, manage a parade or join as a listener.
Organizer accounts
We store your full name, email address, requested city or location, approval status and account recovery information. Passwords and security question answers are stored as salted hashes rather than readable answers. The system owner can review account requests and manage organizer access.
Parades and listeners
We store parade settings, uploaded media, routes, starting locations, schedules and organizer messages. Information chosen for the listener page, such as the city, website, route, logo and flyer, is public.
When a family joins, we store its family name, participation status, connection activity and audio readiness. The parade organizer and system owner can see this participation information. It is used to manage the parade, messages and playback.
Location and maps
Sharing a lead-car location is optional and requires location permission. A shared beacon position is visible on the parade listener page while current. Map, road-routing and geographic-name providers may receive coordinates and place queries needed to provide those features. Other listeners are not asked to share their live location.
Gmail connection and emails
Only the system owner can connect a Gmail sender account. The connection uses Google’s Gmail sending permission to send account request confirmations, approval decisions, parade links and a connection test message. We do not request permission to read Gmail inbox messages, contacts or calendars.
The Client ID, client secret and refresh token are stored encrypted on the server. Access tokens are obtained on the server to send messages. These credentials are not included in public pages or returned by the settings API.
We keep email recipients, subjects, message content, sending status and Gmail message identifiers to process messages and investigate failures. Email content and recipient addresses are sent to Google for delivery. Replies and sent copies are handled in the connected Gmail account. Google account data is not used for advertising or to train AI models.
Cookies, device settings and notifications
The site uses cookies for organizer and listener sessions, and browser storage for settings such as language choice and notification prompts. If you enable phone notifications, we store the device subscription information needed to send them. You can disable notifications or disconnect Gmail in the relevant controls.
Storage and deletion
Site data is handled by the hosting and storage services used to run Menorah Parade System. Google handles email delivery; map providers handle map-related requests. The system owner and authorized parade organizers can access information needed for their roles.
Organizers can request account deletion through the site. The owner can keep or delete associated parades when reviewing an account deletion. Deleting an account or parade does not automatically remove email processing records or copies already delivered to Gmail or another recipient. Disconnecting Gmail removes the stored Gmail connection credentials and cancels pending emails; permission can also be revoked in your Google account.
